If you have ever wondered how to ship a copier, you have come to the right place. The process can be quite simple if you work with the right copier shipping company.
The Return Authorization
When you are ready to ship a copier back to the leasing company, you will receive a Return Authorization (RA) from the leasing company. This document will list the make and model of the equipment, the lease number, and the serial numbers for the equipment to be returned. The RA will also list a date the equipment needs to be delivered by.
Inspect the Equipment & Serial Numbers
Using the Return Authorization, match the equipment to the RA. Its very important that the serial number on the back of the machine matches exactly what is written on the RA. If its even one digit off, the equipment may get rejected at the lease return depot. Inspect the copier for any damage, document condition with photos.
Contact a Copier Shipping Company
For a lease return, the depot will not accept copiers that are boxed or on pallets. Email a copy of your RA over to sales@copierstorage.com and be sure to include the address where the equipment is located and if you require any special services (stair carry, date specific pickup, before or after hours, etc). You will receive a quote back within one business day or less.
Prepare Copier for Return Shipping
Before you release the copier, print a page with your meter reads on it and retain this for your records. You may receive one last invoice for usage. Make sure to remove paper from the drawers and check the cabinets & trays for any company property. Place the RA in the tray of the copier to be returned.
Copier Shipping Process
The copier shipping company will inspect the equipment and note any damage on a Bill of Lading (BOL). They will also verify the serial number. Make sure the condition is clearly noted, sign and date the BOL and you should get a copy for your records, hold on to this document. When the copier delivers to the lease return depot, the depot will inspect the condition & serial number then sign acknowledging receipt of the equipment and the date it arrived. The depot will notify the leasing company the equipment has been received.
How to ship a copier tips
Copier shipping takes weeks. Since there are so few copier shippers, it can take 3-5 days to pick up and up to 2 weeks after pick up to deliver (depending on how far the copier is shipping). Make sure to check the RA and see if you have enough time. If not, ask the leasing company for an extension (note name, date, and time of who you speak with for extension).
List everything that was picked up on the BOL. If there is a finisher, a fiery, or a LCT make sure its listed. If its not listed, its not insured.
Do not wrap the equipment before its picked up. If its wrapped and the carrier cannot inspect it, that may void a damage claim. The copier shipping company will wrap the equipment.
If you cannot find the serial number on the copier, when you print your meters out, the copier's serial number should be located on the top of the document.
Track Your Copier Lease End Dates
Many companies forget to send a Letter of Intent in for their leased copiers to the leasing company. If you do not send the LOI in within the correct timeline, your lease will automatically renew and the leasing company will not send you the RA.
