What You Need to Know About Returning Leased Copiers
Why can’t I return my copiers early?
Copier leases, whether FMV (Fair Market Value) or CPC (Cost Per Copy) agreements, are typically structured as non-cancellable financial contracts, even if they’re presented as flexible or usage-based. Most don’t meet the FASB 13 test for operating leases and are treated more like financed agreements by the leasing companies.
A core requirement of these contracts is that the lessee must retain custody and control of the equipment through the full lease term. Early return is not allowed and doing so could violate the lease terms. This provision is enforced by the leasing company, not the dealer, even in private-label lease scenarios. Dealers may originate the contract, but in most cases, the lease is sold to a third-party financial institution, and those banks or leasing firms enforce the asset control clause to protect the asset value and contract integrity.
However, if your copier is under a dollar-out lease, you may have the option to pay off the remaining stream of payments and take ownership of the equipment. In that case, Offsite can assist by storing, relocating, or properly disposing of the device per your instructions.
But for FMV or CPC leases, you typically cannot return the equipment early, nor buy it out affordably. Letting someone remove or store your leased equipment even to make room for a new install may be seen as an unauthorized asset transfer, and could trigger an event of default under your agreement.
What are my options if I need to install new equipment before the lease ends?
If your new copier fleet is ready but your old lease hasn’t expired, you have two main options:
- Store your current copiers securely keeping control of the assets until the lease term is complete.
- Buy out the lease which means paying all remaining payments (including service) plus a residual that’s often far above the market value of the equipment.

A copier dealer offered to store my leased copiers for me. Should I say yes?
This is one of the most common and most risky missteps businesses make. Even when a dealer offers to “help,” if they remove your copiers and store them elsewhere, you may lose contractual control of the equipment. That loss of custody could result in the leasing company classifying the lease as breached, triggering an event of default or creating legal disputes about asset location and return condition.
